1. About this Privacy Policy

JobCraft AU respects your privacy and is committed to handling personal information responsibly. This Privacy Policy explains how JobCraft AU collects, holds, uses, discloses and protects personal information when you use our website, applications and services.

This policy is intended to explain our privacy practices in a clear and practical way and is designed with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) in mind, to the extent those laws apply to JobCraft AU. If Australian privacy law applies to JobCraft AU, we will handle personal information in accordance with the requirements applicable to us.

This policy should be read together with any collection notices, consent screens, terms of service and other privacy information we provide at the time information is collected.

2. What is personal information?

Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether the information or opinion is true or recorded in a material form.

Depending on how you use JobCraft AU, the personal information we handle may include information contained in resumes, cover letters, job applications and other employment-related documents.

We do not store your payment card number or full payment card details. Card details are entered in our payment provider’s secure checkout.

Resume and employment information

You may choose to provide employment history, job titles, employer names, employment dates, skills, qualifications, education, certifications, professional memberships, achievements, career objectives, work experience, resume content, cover letter content, job application information, and information contained in documents you upload.

Job advertisement information

If you use JobCraft AU’s job-analysis or tailoring features, we process information from job advertisements or job descriptions that you provide.

Application tracking information

Employer, position title, application date, application status, interview information, notes, reminders and other information you choose to record.

Payment and subscription information

Subscription status, plan, transaction identifiers, payment status, refunds, chargebacks, subscription dates and billing-related events. Payment card details are processed by our payment provider and are not stored by JobCraft AU.

Technical and usage information

IP address and similar request information, login events, security events, session information, features accessed, error and diagnostic information, and rate-limit or abuse-prevention events.

Communications

If you contact us or send feedback, we may retain your name, contact details, the content of your message and information necessary to resolve your request or complaint.

4. Sensitive information

Please do not provide sensitive information to JobCraft AU unless it is genuinely necessary for your use of a feature. Sensitive information can include health information, racial or ethnic origin, religious beliefs, political opinions, sexual orientation or criminal record information.

Some employment documents may contain sensitive information even when you did not intend to provide it. Where sensitive information is collected or handled, JobCraft AU will handle it in accordance with applicable Australian privacy law, and will obtain any consent required by law before collecting it. You should consider removing unnecessary sensitive information from documents before uploading them.

5. How we collect personal information

We generally collect personal information directly from you when you create an account, sign in, create or edit a resume, upload a document, create a cover letter, analyse a job advertisement, track an application, use AI-powered features, subscribe to a paid plan, contact support, submit feedback, or use security and account-management features.

We may also receive information from service providers that support JobCraft AU, such as authentication, hosting, database, payment and AI infrastructure providers. Where required by applicable law, we provide collection information at or before collection, or as soon as practicable afterwards. You can browse our public pages and read this policy without creating an account.

We will not use personal information for unrelated purposes merely because we have collected it. We do not use your personal information for direct marketing without your consent, and any optional marketing consent is kept separate from the consent needed to provide the service.

7. AI features and your information

JobCraft AU provides AI-powered features that process information you choose to submit, including resume content, employment history, skills, qualifications, job descriptions and other application-related information. Text extracted from documents you upload is also processed this way.

When you use an AI feature, the relevant information is transmitted from our servers to an AI provider that processes it on our behalf to produce the result you asked for. We only use and disclose information for these purposes in accordance with applicable law and the notices applicable to the service.

AI-generated content may contain errors. You are responsible for reviewing application materials before using or submitting them. JobCraft AU does not intentionally invent employment history, qualifications, experience or other personal facts for your application materials.

8. Automated processing and decisions

JobCraft AU uses automated technologies, including AI systems, to analyse information, generate content, provide suggestions, score or compare application materials, and assist you with employment-related preparation.

These features are assistance tools that run at your request. They do not themselves determine whether you are employed, hired, rejected or shortlisted by an employer. If JobCraft AU uses personal information in an automated decision-making process that is subject to additional privacy-policy requirements under Australian privacy law, we will provide the information required by applicable law and update this section.

9. Disclosure of personal information

We may disclose personal information to third parties where reasonably necessary for the purposes described in this policy, including service providers that help us operate JobCraft AU. These currently include providers for cloud hosting and application infrastructure, database and authentication services, AI processing, payment processing, and account emails sent through our authentication provider.

Service providers only receive information reasonably necessary for the services they provide, subject to applicable contractual, technical and legal arrangements. We may also disclose information where you ask us to or consent, where required or authorised by law, where reasonably necessary to prevent or address fraud, security or abuse, where necessary to protect rights, property or safety, or in connection with a corporate transaction, subject to applicable law.

We do not sell your personal information as a commercial data product.

10. Overseas disclosures

11. Payment information

Paid services are processed through a third-party payment provider’s secure checkout. JobCraft AU may receive payment status, subscription status, transaction identifiers, refund information, chargeback information, billing dates and plan information.

JobCraft AU does not store complete payment-card numbers. Payment providers may independently process information under their own privacy policies.

12. Free trials and subscriptions

JobCraft AU offers free usage limits, one-off purchases and paid subscriptions. We process information necessary to determine and enforce free usage limits, record what has been used, manage subscriptions, confirm successful payments, process cancellations and refunds, respond to chargebacks, and update account entitlements. This information is linked to your JobCraft AU account and is held and checked on our servers, not in your browser.

13. How we store and protect personal information

JobCraft AU takes reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Depending on the system involved, measures may include authenticated access controls, server-side authorisation, row-level database access restrictions, encryption in transit, secure credential handling, two-step verification for administrative accounts, administrative access controls, security logging, rate limiting, abuse prevention, secure payment-provider integration, browser security headers, and monitoring and incident response procedures.

We do not publish security information that would materially weaken our security controls. No online service can guarantee absolute security.

14. Account security

You are responsible for maintaining the security of your account credentials and should use a strong, unique password. Where two-step verification is available, we strongly recommend enabling it in Account settings. If you believe your account has been compromised, contact us promptly using the privacy contact details on this page.

15. Data retention

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, to provide the service, maintain appropriate records, resolve disputes, enforce agreements, prevent fraud or abuse, comply with legal obligations, or otherwise as permitted or required by law. Retention periods differ depending on the type of information.

Documents you upload are read to extract text and are not stored as files by JobCraft AU; the details you keep are the ones saved to your profile. Records of payments, security events and audit logs are kept for longer than ordinary content for legal, accounting and security reasons.

Copies may persist in routine backups for a period after deletion.

16. Deleting your account

You may delete your JobCraft AU account from Account settings, or request deletion by contacting us. Deletion removes your profile, resumes, cover letters, job analyses and application records held against your account.

Some information may need to be retained for legal, security, fraud-prevention, accounting or other legitimate purposes, and copies may remain in backups for a period. You can also download a copy of your information before deleting your account.

17. Accessing your personal information

You may request access to personal information that JobCraft AU holds about you, subject to applicable exceptions under Australian privacy law. Much of it is already available in your account, including a download of your data. To request access, contact jobcraftau@gmail.com.

We may need to verify your identity before providing access. We will respond within the timeframe required by applicable law, or otherwise within a reasonable period.

18. Correcting your personal information

You may request correction of personal information you believe is inaccurate, out of date, incomplete, irrelevant or misleading. You can correct most information directly in your account. For anything else, contact jobcraftau@gmail.com. We may need to verify your identity before making changes.

19. Privacy complaints

If you believe JobCraft AU has handled your personal information in a way that breaches applicable privacy law, you may make a privacy complaint to jobcraftau@gmail.com. Where possible, include your name, contact details, a description of the issue, relevant dates, information that will help us investigate, and the outcome you are seeking.

We will investigate privacy complaints and respond within a reasonable period and in accordance with applicable legal requirements. You will not be disadvantaged for making a genuine privacy complaint.

21. Notifiable Data Breaches

If JobCraft AU experiences a data breach involving personal information, we will assess the incident and take the actions required by applicable law. Where the Notifiable Data Breaches scheme applies and an eligible data breach is identified, we will follow the applicable notification and response requirements, and take steps to contain, investigate and remediate the incident.

22. Cookies and similar technologies

JobCraft AU uses cookies and browser local storage that are necessary to operate the service: keeping you signed in, maintaining security, remembering preferences, and detecting abuse or suspicious activity. Usage counts and product events are recorded in our own database against your account rather than through third-party advertising trackers.

We do not currently use third-party advertising or cross-site tracking technologies. If that changes, this section and any required consent mechanism will be updated before those technologies are deployed.

23. Children

JobCraft AU is designed for people seeking employment and career assistance. We do not knowingly collect personal information from children where collection would be prohibited by applicable law. If you believe a child has provided personal information to JobCraft AU improperly, contact us using the privacy contact details above.

24. Third-party websites and services

JobCraft AU may contain links to third-party websites or services. Those third parties operate under their own privacy policies and terms. JobCraft AU is not responsible for the privacy practices of third-party websites it does not control.

25. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to JobCraft AU, new features, changes to service providers, changes to information-handling or security practices, or changes to applicable law. When we make material changes we will update the “Last updated” date and may provide additional notice where appropriate. The current version is always available at /privacy.
